Electronic Invitation Policy:

All invitations are subject to approval by the Division of Marketing and Communications

Allow 2-3 business days for Invitation Request Form submissions to be received and processed

All invitation requests must be submitted at least 14 days before your event- anything less will result in an insufficient window for response

Will your event need special parking?*
This may include accessibility for handicapped guests, access to gated parking lots, etc.

Participation From the Office of the President

Please indicate whether you intend to invite the President, Provost or any VP to your event.*
Do you intend to invite the President to make remarks or be a part of the event program?*

Inviting the President, Provost or any other members of the executive branch mandates the involvement of Media Services.

Catering & Alcohol Use

Do you plan to have food or beverages at your event?*

All catering in the Training Room at the CICE must be reserved through Chartwells by phone at (409)-880-8928 or at lamaruniversity.catertrax.com. No food is allowed inside The Hatchery.

While Chartwells has the exclusive catering rights, exceptions can be made if:

1) Chartwells declines the contract due to a scheduling conflict

2) The hosting party requests a waiver from Chartwells to use another full-service* caterer. The amount of the contract with the non-Chartwells caterer must be below $250 unless Chartwells has already declined the contract

*A full-service, non-Chartwells caterer is defined as: 

  • having access to a kitchen
  • access to dishes and utensils
  • packing out all trash from staff and guests
  • at least two catering staff members present

Security is mandatory for events at which alcohol is served.

Per Lamar University policy, bar service must conclude thirty minutes prior to the scheduled end of the event.

Alcohol may not be served at events with students in attendance.

An Alcohol Use Application Form must be signed by the President of the University or the Chief Financial Officer and submitted to the Office of Event Management prior to your event.

Half Training Room (113 A or B)  available per day at a rate of $350

Full Training Room (113 A and B) available per day at a rate of $500

The Hatchery available per day at a rate of $150

Linens are required for all catered events except for those with the classroom-style setup or events catered with boxed lunches from Chartwells.

Buffets and bars will be covered by Event Management staff or Chartwells but please keep in mind any name tag tables, award tables, etc. as part of your linen needs.

Please note that the host is responsible for providing a laptop. One can be obtained from Media Services. Be sure to request appropriate adapters for Macs. PowerPoint presentations should be tested 1-2 days prior to your event as well as 2-3 hours before. If your event occurs after 5 pm, Media Services personnel will not be available to troubleshoot unless you have arranged for them to be there.
